Do Not Delete Cancelled Customers

Create a group called ‘CANCELLED’ and relocate cancelled customers into this group.
If a cancelled customer is deleted their financial records are also deleted which will make the reporting section inaccurate.
The group is best created in the ‘INVOICE GROUP’ section in the centre of the customer page.

The Importance Of Backing Up

Backing up everyday is of great importance.
The best option is to have two thumb drives and back up to a different one each day. On one occasion a delivery agents computer was stolen along with the backed up thumb drive which was still in the computer. In effect he lost his whole business.

Reurns Forms Are Found In Reports Under Customers.

Once we have entered the daily supplies for the Sub-Agents last trading day of the week we then print off the returns form. The form is placed with the sub-agents last delivey for the week.

The fields on the form will contain all daily supplies for each Sub-Agent if daily delivery dockets have been produced.

Publisher Term Promotions

Most of you would know that MrNews has a function that will automatically set the promotion expiry date when the publication is allocated to the customer. Most of you do not use this feature so I would assume that most of you manage the expiry date by manually entering it yourself when entering the publication into the customers supply.

This is Ok but there is a problem when the customer needs to be cancelled, maybe they move away or whatever. The problem is that if you use the “Cancel” function and enter a “Last Delivery Day” the promotion publication will not recognised because it already has a stop date that is in the future. Unless you delete that stop date before you cancel the customer the promo will continue to count in your daily figures. It will not appear on your Stop Report so there is a possibility that you will continue to deliver it.

We have found a solution that will be included on the next update. In the meantime make sure the stop date is deleted before the customer is cancelled.

Cheers Mark

Picking up a Previous Magazine Supply

Some of you might be frustrated that when entering a magazine in Sub Agent Deliveries it does not find the previous supply. There are two reasons for this

1. The magazine does not have the “A” (Available) box ticked in Publications.
2. You have not entered a Supply Total when allocating the magazine in Sub Agent Deliveries.

In reference to #2 the software will look back to find a supply total for that magazine from a previous entry. If you have not entered a Supply Total (I am not talking about allocation to the shops but the total at the top) there is nothing for the software to find.

Cheers Mark
